Archive Email
These instructions will help students who are graduating and want to back up their email. Once your account is purged, you will no longer be able to access your email to perform an archive.
If you are running out of space in your Outlook mailbox (50GB), please contact us to set up automatic archiving instead.
If you do not have Outlook for Windows, you can download and install it from here. Alternatively, you can Outlook on the computers in the E2.14 training lab. Email profiles are tied to your computer profile, so only you will have access to your emails. Outlook for Mac will not work.
Archive Email (Windows ONLY)
Recommended: Archive to a Personal Email
This will copy your emails to a personal email account.
- In Outlook, go to File > Account Settings > Add Account. Follow the prompts to automatically configure your personal email account.
Note: If it does not automatically configure your personal email account, you will have to add it using the IMAP option:
Gmail | Office 365, Outlook.com, Hotmail | Yahoo
- A new folder with your personal email will appear on the left navigation in Outlook.
- To archive emails, manually copy (right-click > Copy) or move (drag) all your folders into the personal account. Note that system folders (Inbox, Sent Items, Junk, Outbox, Deleted Items) cannot be moved - you will need to select all items in each folder and move the items rather than the folders themselves.
Alternative: Archive to a File
This will create a PST file on your computer that can be opened with Outlook any computer.
- In Outlook, go to File > Account Settings > Account Settings.
- Go to the Data Files tab > Add...
- A new window will appear. Choose a name for the new PST file. Click OK.
- A new set of folders will appear on the left navigation in Outlook.
- To archive emails, manually copy (right-click > Copy) or move (drag) all your folders into the personal account. Note that system folders (Inbox, Sent Items, Junk, Outbox, Deleted Items) cannot be moved - you will need to select all items in each folder and move the items rather than the folders themselves.
Note: You can only import PST files to another Outlook or Hotmail account. Some email clients (Gmail, Thunderbird, etc) have the feature of importing/converting PST to the appropriate format for their platform.
Export Outlook Contacts
- In Outlook, click File > Options > Advanced.
- Under Export, click Export.
- On the first page of the Import and Export Wizard, click Export to a file, and then click Next.
- Click Comma Separated Values, and then click Next.
- In the folder list, click the contacts folder you want to export and then click Next.
- Choose a location on your computer to temporarily save the file, either use the default name or type a custom name for the exported file, and then click Next.
- If you want to change how contact information is saved in the file, click Map Custom Fields.
- Click Finish.
Archive Email (Mac)
As mentioned previously, you must use the built-in Mail app for this process. Microsoft Outlook does not support email archiving on Mac. You are free to continue using Microsoft Outlook after completing this process on Mac Mail, however.
Archive to a File
This will create a MBOX file on your computer that can be opened with Mac Mail on other MacOS.
- In Mac Mail, right click on the Anderson mailbox.
- Select Export Mailbox...
- A new window will appear. Choose where you would like to save the archived mailbox and name the file what you prefer.
- You can import the file onto Mac Mail app at a later time.
Archive Email Contacts
- In Mac Mail, navigate to Window > Previous Recipients
- Select all of the email addresses you would like to move to your contacts and select Add to Contacts.
- Open Apple Contacts. Highlight all of the contacts you want to transfer or even select All Contacts.
- Go to File > Export > Export vCard... and then name the file and save it where you would like for it to be. You can import the file onto other email accounts.
